A joining report is a one-page letter that confirms you have reported for duty. You write it to the head of your department, quote the appointment letter or office order number and date, and state that you assume charge of the post today, in the forenoon.
This guide covers the government joining report, the private-sector joining letter, the hospital joining letter, and an Urdu sample. It also lists the documents to bring at joining and what happens if you miss the joining date.
Joining Letter at a Glance#
| Route | What you submit | Who it is for |
|---|---|---|
| Government post | Joining report quoting the office order | Selected government employees |
| Private job | Joining letter accepting the offer letter | New private-sector employees |
| Re-joining after leave | Re-joining letter, with a medical certificate where the leave was medical | Employees returning after leave |
What Is a Joining Report?#
A joining report, also called a joining letter, is the document you submit on your first day of work. It confirms that you have accepted the post and have reported for duty.
It is not an application. The application came first, then the test and interview, then the appointment letter. The joining report is your reply to the appointment letter. It is the legal proof that your employment started on the date in the report.
In government offices it is called a joining report. In private companies it is called a joining letter. The format is the same: a reference to the order that appointed you, the date you assume charge, and a request to accept the joining.
What the Appointment Letter Says First#
Read your appointment letter before you write anything. It states the post, the pay scale, the place of posting, the last date to join, and the documents to bring. The joining report follows what it says.
The appointment letter also names the authority you report to. Address the joining report to that designation, not to a general office. If the letter names the department head, write to the department head. If it names the appointing authority, write to that authority.
If you do not join by the date in the appointment letter, the offer can lapse. If you cannot join on that date, inform the department in writing before the date and ask for an extension. Do not assume an extension will be given.
The Format: Parts of the Joining Report#
A joining report follows the standard formal letter layout. Every part has a fixed place on the page.
| Part | What to write |
|---|---|
| Sender | Your name, address, phone number and email, at the top |
| Date | The date you report for duty |
| Receiver | The designation and department named in the appointment letter |
| Subject | Joining Report regarding the post of [Post Name] |
| Salutation | Respected Sir, or Respected Madam |
| Body | Reference to the order, assumption of charge, request to accept |
| Closing | Yours faithfully, your signature and your name |
| Enclosures | A list of the documents attached |
Quote the office order or appointment letter number and date in the first line of the body. That reference is how the office files your report against your appointment. Without it, the report cannot be matched to your case.
State whether you assume charge in the forenoon or the afternoon. Government service counts the joining from that half of the day, and it affects your pay from the first month. Write “in the forenoon” if you report before midday.

If you are a woman, change “سنبھال رہا ہوں” to “سنبھال رہی ہوں”. The rest of the letter stays the same.
Documents to Bring at Joining#
Bring only what the appointment letter asks for. The usual list is:
- The appointment letter, original and a copy
- CNIC, original and a copy
- Domicile certificate in your own name
- Degree and transcripts, up to your highest qualification
- Medical fitness certificate, where the appointment letter asks for one
- Police character certificate, where the department asks for one
- Recent passport-size photographs
Our documents checklist lists every document a government job application needs, and the same papers are checked again at joining.

How to Submit the Joining Report#
Submit it in person. Government offices almost always require a physical letter signed in ink. Go to the office named in the appointment letter on the joining date, and hand the report to the head of the department or the section that handles joining.
Keep a stamped copy. Ask the office to stamp your copy as received, with the date and time. That copy is your proof that you joined on that date. Keep it with your appointment letter.
Check that it is entered in the record. The office enters your joining in the service record and starts your pay from that date. If the joining is not entered, your pay and seniority start late. Confirm it is recorded before you leave.
Late Joining and a Missed Deadline#
If you cannot join on the date, write before the date. Send a written request for an extension to the appointing authority before the last date passes. State the reason and the date you can join. Do not assume the extension will be given.
If the date has passed, contact the department at once. The offer can lapse, and the post can go to the next candidate on the merit list. A late joining is accepted only if the department allows it in writing.
If you are re-joining after leave, attach the medical certificate. Where the leave was medical, the department asks for a medical fitness certificate before you resume duty. Our medical fitness certificate guide covers where to get one and what it must state.
Common Mistakes to Avoid#
- Forgetting the office order number and date. Without the reference, the office cannot match your report to your appointment.
- Not stating forenoon or afternoon. Government service counts the joining from that half of the day. Write it in the report.
- Leaving without a stamped copy. The stamped copy is your only proof of the joining date. Get it before you leave.
- Joining without the medical fitness certificate. If the appointment letter asks for one, the joining is not complete without it.
- Writing a long letter. A joining report is three short paragraphs. The office needs the reference, the date and your signature, nothing more.
- Assuming an extension. A late joining needs the department’s written permission. Do not join late without it.
- Sending the report by email only. Most government offices require a physical letter signed in ink. Email alone does not count unless the appointment letter says so.
