Most job advertisements in Pakistan ask for an “application letter”. That is not the same document as a cover letter, and sending the wrong one is a small but real disadvantage. This guide gives you the standard format used in Pakistan, three complete samples (two in English, one in Urdu), and the rules for email applications.
Application Letter or Cover Letter: What Is the Difference?#

In Western advice the two terms are treated as synonyms. In Pakistan, South Asia and the Gulf they are different documents, and employers expect the local one.
| What | Application letter | Cover letter |
|---|---|---|
| Length | Short, 3–4 paragraphs, one page | Longer, 3–5 paragraphs, sometimes more than a page |
| Tone | Formal: “Respected Sir/Madam”, “Yours faithfully” | Conversational, often opens with an achievement |
| Subject line | Always: names the post and the advertisement | Often skipped |
| Qualifications | Stated directly: degree, institution, year, division | Woven into a story about your career |
| Enclosures | Listed, numbered | Rarely listed |
An application letter states the post explicitly and lists what is enclosed. A cover letter sells your story. For a Pakistani job advertisement, write the application letter. Our teaching job application guide has the same format applied to a teaching post, with English and Urdu samples.
The Standard Format: 7 Parts#
Every application letter in Pakistan follows the same seven parts, in this order. Keep the layout clean: Arial, Calibri or Times New Roman, 10–12 pt, left-aligned, single or 1.15 line spacing, margins of 1 to 1.5 inches. The whole letter must fit on one page, 250–400 words.
| Part | What goes here |
|---|---|
| 1. Sender’s address | Your name, postal address, phone number and email, at the top |
| 2. Date | The current date, below your address |
| 3. Receiver’s address | The hiring manager’s name and designation, the company or department name, and its address |
| 4. Subject | The post you are applying for, plus the advertisement source and date |
| 5. Salutation | “Respected Sir/Madam” when you do not know the name; “Dear Mr/Ms [Name]” when you do |
| 6. Body | Three or four short paragraphs: opening, qualifications, closing |
| 7. Closing and enclosures | “Yours faithfully” (unknown recipient) or “Yours sincerely” (named recipient), signature, your name and contact, then a numbered list of enclosures |
How to Write It: Step by Step#

Step 1: Read the advertisement twice. Note the exact post title, the reference number if there is one, the newspaper or portal, and the date. Your subject line must carry all of it.
Step 2: Write the subject line first. A vague subject like “Job Application” tells the reader nothing. Write “Application for the Post of Junior Clerk (BPS-11) – Advertisement in Daily Jang, 2 November 2026”. The reader knows in one line what you want and where you saw it.
Step 3: Open with the post and the advertisement. One or two sentences: “With reference to your advertisement published in the Daily Jang on 2 November 2026, I wish to apply for the post of Junior Clerk (BPS-11).” No long introduction about yourself. The post comes first.
Step 4: State your qualifications in one paragraph. Degree, institution, year, division or CGPA, and the experience that matches the post. Add one quantified achievement if you have one: “increased social media engagement by 40%” beats a list of adjectives. Do not repeat your CV word for word. Our experience certificate guide explains what counts as experience for a government post.
Step 5: Close with a request and list your enclosures. “I would be grateful if you would grant me an interview.” Then list every document you are sending, numbered: CV, degrees, CNIC copy, domicile certificate, photographs. For a government post, include the domicile certificate: provincial quota rules apply, and an omitted domicile voids the application.

Sample 3: Urdu Letter for a Clerk Post#
Use an Urdu letter when the advertisement is in Urdu, or when the post is in a government office, a local company or an educational institution where Urdu is the working language. Match the language of the advertisement. Use a standard Urdu font (Nastaliq) and keep it to 150–300 words.
محترم جناب، میں آپ کے ادارے میں کلرک کی آسامی کے لیے درخواست دینا چاہتا ہوں۔ میں نے بی اے مکمل کیا ہے اور مجھے کمپیوٹر کا تجربہ بھی ہے۔ میری تعلیمی اسناد اور شناختی کارڈ کی نقل منسلک ہے۔ آپ سے گزارش ہے کہ مجھے انٹرویو کا موقع دیا جائے۔ آپ کا مخلص، احمد رضا
Applying by Email#
Many private companies now ask for applications by email. Paste the letter into the email body, or attach it as a PDF, depending on what the employer asks. The subject line must name the post: “Application for Marketing Executive – Ayesha Khan”. Attach your CV as a PDF (preferred) and the required documents. Name the file clearly, for example “Ayesha_Khan_CV.pdf”. If the employer asks for an email only, paste the letter in the body and attach the CV and documents. Keep the same formal structure and the same subject line. Our resume builder helps you build the CV that goes with the letter.
Mistakes to Avoid#
- Skipping the subject line. A letter without a subject line, or with a vague subject like “Job Application”, forces the reader to guess which post you want.
- Sending the same letter to every post. A generic letter is easy to spot and often rejected. Change the post title, the advertisement reference and the middle paragraph for every application.
- Writing “I humbly apply” and other clichés. Replace them with a direct statement and one measurable achievement.
- Repeating your CV word for word. The letter adds one or two things the CV does not say. If it repeats the CV, it adds nothing.
- Typos and grammar mistakes. A letter with spelling mistakes is rejected before the CV is read. Proofread it, then ask someone else to read it once.
- Forgetting the domicile for a government post. Provincial quota rules apply, and an omitted domicile certificate voids the application.
- Writing more than one page. One page, 250–400 words, is the rule for almost every post. Only senior roles go to two pages.
Frequently Asked Questions#
What is the difference between an application letter and a cover letter?
An application letter is the formal document Pakistani job advertisements ask for: short, 3–4 paragraphs, names the post and the advertisement in a subject line, states qualifications directly, and lists numbered enclosures. A cover letter is the Western document: longer, conversational, and built around your career story. For a Pakistani advertisement, write the application letter.
How long should a job application letter be?
One page, 250–400 words in total: 60–80 words for the opening paragraph, 120–200 for the body, and 40–60 for the closing. An Urdu letter should be 150–300 words. Only senior roles go to two pages.
Should I write my job application in Urdu or English?
Match the language of the advertisement. If the ad is in Urdu, write the application in Urdu. If the ad is in English, write it in English. Urdu letters are common for government jobs, local companies and educational institutions. Use a standard Urdu font (Nastaliq) for an Urdu letter.
What documents should I attach with a job application?
Your CV, your degrees and transcripts, your experience certificates, a CNIC copy, and two photographs. For a government post, add your domicile certificate: provincial quota rules apply, and an omitted domicile voids the application. List every enclosure, numbered, at the end of the letter.
Can I email my job application letter?
Yes, when the employer asks for it. Paste the letter into the email body, or attach it as a PDF, depending on what the employer asks. The subject line must name the post, for example “Application for Marketing Executive – Ayesha Khan”. Attach your CV as a PDF and the required documents.
